JOB DESCRIPTION – HUMAN RESOURCES ASSISTANT

                                              

Location: Bujumbura

Duration: 2 years (including 6 months’ trial period).

Reports to: Operations Manager

 

About Dreaming for Change and Position overview

Dreaming for Change (D4C) is a family-centered community development organization serving children, families, and communities in Burundi. Through education, health, agriculture, and women’s empowerment, D4C tackles the root causes of poverty and inequality while strengthening community-led transformation. As D4C grows to more than 60 staff in 2026, the organization is investing in stronger internal systems to ensure professional and reliable human resource management.

 

The Human Resources Assistant will support the Operations Manager in managing day-to-day HR administration, staff coordination, and internal communication. This role helps ensure that staff files, contracts, recruitment processes, performance documentation, and HR policies are well organized and consistently applied across the organization. It is an administrative, detail-oriented position that provides essential support to both staff and management as D4C’s team continues to expand.

 

Key Responsibilities

  • Maintain accurate and confidential staff files, including contracts, evaluations, leave records, and disciplinary documentation;
  • Prepare employment contracts, addendums, and renewal documents, and keep HR databases, attendance sheets, and timesheets up to date;
  • Collect and organize signed policies, codes of conduct, and onboarding documents; support the development and use of HR templates and forms;
  • Assist with recruitment by drafting and publishing job announcements, organizing interviews, scheduling candidates, and supporting reference checks and document verification;
  • Support staff onboarding by preparing welcome packages, organizing orientation sessions, and ensuring new staff receive contracts, policies, and job descriptions;
  • Act as a first point of contact for HR-related questions from staff, share reminders about reviews, probation assessments, deadlines, and meetings, and help coordinate staff meetings, trainings, and team-building activities;
  • Ensure strict confidentiality of employee and organizational information;
  • Provide administrative support to the Operations Department when needed, including preparing minutes, helping with documentation audits, and supporting procurement/logistics-related HR files.

Education / Qualifications:

  • Bachelor’s degree in Human Resources, Laws, Administration, Management, or a related field;
  • Experience in HR or administrative roles (NGO experience is an advantage);
  • Basic knowledge of HR processes such as recruitment, contracts, attendance management, and staff filing;
  • Strong computer skills, especially in Word, Excel, and Google Workspace;
  • Good communication skills in Kirundi and French (English is an added advantage);
  • Strong organizational skills, attention to detail, and ability to follow procedures;
  • Proven ability to maintain confidentiality and professionalism.
